For Event Managers: One Booth Supplier for Your Whole Calendar

· 4 min read

Photo booth at a managed corporate event in South Wales

If you run events for a living, you are not booking a photo booth. You are managing a supplier — one of fifteen — and what you actually need is for that supplier to turn up, behave professionally in front of your client, and never become your problem.

This page is for planners, agencies, venue coordinators and anyone else handing over a finished event to a client.

Why go through us rather than a different booth each time

Loyalty rates on volume. If you are placing several events with us across a season, you are not paying list price. The more of your calendar we cover, the better the rate — and it is agreed up front for the whole block, not haggled event by event.

Priority on your dates. Saturdays in June, July and December go first, and they go early. Partners get first refusal on dates before they are released, which means the backlog of events you are holding can actually be resourced instead of scrambled.

One point of contact. You get a direct number and you deal with the same person every time. No call centre, no being handed to whoever picked up.

One invoice. Consolidated billing across multiple events, on terms, instead of a separate payment run for every booking.

A supplier who knows your venues. We work across Swansea, Cardiff, Bridgend, Neath, Port Talbot, Llanelli and the Vale regularly. Load-in quirks, lift access, which rooms have a socket where you need one — that knowledge saves you a site visit.

What your client actually sees

This matters more than the commercial terms, because it is what your client remembers.

  • A DBS-checked attendant in smart dress for the full hire
  • Custom strip design carrying your client's branding, names or event identity
  • A booth built and tested 60 to 90 minutes before doors, never during
  • Quiet pack-down that respects venue curfew
  • Digital gallery delivered afterwards — useful for your client's own marketing

We are set up to be invisible in the run sheet and memorable in the photos. That is the whole job.

Events we cover for trade partners

Corporate and brand activations. Branded strips, data capture where required, and a booth that matches the stand build rather than fighting it.

Weddings. If you are coordinating the day, we take the booth entirely off your list — we liaise with the couple directly on design and with the venue on logistics.

Awards nights and galas. High-volume, short-window events where queue management is the actual skill.

Christmas parties. The densest period in the calendar. Block-booking in spring is the only reliable way to hold December Saturdays.

Proms and graduations. Schools and universities running several dates across a few weeks — one contract, one contact.

How the partner arrangement works

  1. Send us your calendar. Even provisional dates. We will tell you honestly what we can hold and what is already gone.
  2. We quote the block. One rate across the set of events, with the loyalty discount applied.
  3. We hold the dates. Provisionally, while your client confirms.
  4. You confirm event by event. Individual events firm up as your clients sign off, against the agreed rate.
  5. We invoice together. Monthly or per-block, whichever suits your finance process.

There is no minimum commitment to have the conversation, and no charge for holding provisional dates while your clients decide.

Planning next season now

Bookings for 2027 are open, and the pattern every year is the same: summer Saturdays and December fill first, usually many months ahead. If you are sitting on a pile of events that need suppliers attached, the earliest conversation is the cheapest one.
