What to Expect From Your Photo Booth on the Day

Guests using a photo booth at a Swansea event

Most people booking a photo booth have never hired one before. That is completely normal — and it means the most common question we get is not about price or props. It is simply: what actually happens on the day?

Here is the honest, start-to-finish version.

Before the day: the bits we sort in advance

Once your date is confirmed, three things get agreed before your event arrives.

Your photo strip design. Every package includes a custom strip layout. We send you a design with your names, date and colours, and you tell us what to change. This is usually finalised a week or two out.

Your backdrop. You pick from our range — sequin, floral, white, black or our graduation and themed options. If your venue has a strong colour scheme, tell us and we will recommend what sits best against it.

Your venue's logistics. We contact the venue directly where we can. What we need to know is simple: where the booth goes, when we can get in, and where the nearest plug socket is.

Arrival and setup

We arrive 60 to 90 minutes before your start time. This is not part of your hire time — your paid hours begin when the booth opens to guests, not when we walk through the door.

Setup itself takes around 45 minutes. In that window we:

  • Build the booth and backdrop
  • Run and tape down power cables so nothing is a trip hazard
  • Calibrate the camera and lighting for the room
  • Load and test your strip design
  • Run test prints until the colour is right

What we need from the venue is modest: a flat area roughly 3m x 2m, and a standard plug socket within reasonable reach. Low ceilings or a tight corner are usually workable — just flag it in advance so we bring the right setup.

Idle time, if your timeline needs it

Sometimes the booth needs to be built early — a room flip, a venue access window, a ceremony running in the same space. We can set up early and hold the booth closed until you want it live. Just tell us the timeline and we will build it around your schedule rather than ours.

While the booth is running

This is the part people underestimate. A photo booth is not a vending machine in the corner — it works best when someone is running it.

Your attendant stays for the whole hire. They are DBS-checked, they are in smart dress, and their job is to keep the queue moving, hand out props, reload paper and make sure nervous guests actually get in the booth. Weddings in particular live or die on this: the guests who most want a photo are often the ones who need inviting.

Prints come out in about 10 seconds. Every guest in the photo gets a copy — we do not print one strip and make six people argue over it.

It is unlimited. There is no session cap and no per-print charge. Guests can come back as many times as they like, and at a good party they absolutely will.

Guest books are included on 4 and 5 hour packages. Your attendant takes a duplicate strip, sticks it in the book and hands the guest a pen. You go home with a book of photos and messages rather than a pile of loose strips.

Pack-down

Pack-down takes about 30 minutes and starts the moment your hire ends. We are quiet about it, we take everything with us, and we leave the space as we found it.

If your venue has a hard curfew, tell us at booking. We will build pack-down into the schedule so nobody is rushing at midnight.

After the event

Digital images are delivered as an online gallery, plus USB on 3-hour-and-above packages. You get the full-resolution originals — not just the strip layouts — so they are actually usable for thank-you cards and albums.

The short version

  • We arrive 60–90 minutes early; setup does not eat your hire time
  • We need 3m x 2m and a plug socket
  • Prints in ~10 seconds, unlimited, copies for everyone
  • A real attendant for the entire hire
  • 30-minute pack-down, everything taken with us

If anything about your venue or timeline is unusual, the answer is almost always "yes, we can work with that" — but it is far easier when we know in advance.
